Introduction
One of the most powerful aspects of our platform is that we do a lot of the legwork of organizing your lead lists for you based on
You adding or removing leads from these lists
You dispositioning leads after a conversation or email (which basically means you updating what the outcome of a call was)
And our AI analyzing call conversations, emails exchanged, missed calls, and other signals to surface leads intelligently
The end outcome of this is that you're able to prioritize and focus on warm and hot leads, while also still being able to reach out to cold leads, while also not seeing disqualified leads that are not worth your time.
The impact of this is tremendous. Think of all the manual time you spend trying to keep your leads organized and how much time you can save if you worry less about this and freeing up your time to actually call or email prospects. There is high ROI in taking the time to understand how this all works initially. Once you get the hang of it, things will be smooth sailing and you'll be highly productive!
Below, we explain (with visuals) how all of this works.
Concept 1: Lead Lists
All of the leads you've been given are assigned to lists, which you can name (you can always change the name of the list later). To access and see your lists, click the down arrow next to the name of the list that you are on in the Leads tab:
There are 3 types of lead lists: 'Exclusive Lists', 'Custom lists', and 'Fixed lists' (aka 'Smart lists').
Lead Lists sub-concept 1: Exclusive Lists
Exclusive lists are leads that are assigned to you for the campaigns you are working on. How these leads are assigned to you is worth an entire separate article, which you can reference in our How Lead Lists are Assigned for Users Approved on Campaigns doc.
Lead Lists sub-concept 2: Custom Lists
Custom lists are lists you have created that you can add leads to.
Leads can belong to multiple lists - you can bulk select leads and remove them from lists, add them to other lists, or specify a list when you import leads initially.
Custom lists are flexible and you can use whatever naming strategy you want. We typically recommend a naming convention that has the date of the list creation, as well as a brief description of the nature of the leads.
Examples might include: "250213 Marketing Inbounds", or "24.07.03 ACC Conference Attendees", or "Restaurant Franchise Owner Titles", or "East Coast Leads".
Lead Lists sub-concept 3: Fixed lists (aka Smart lists)
Fixed lists, aka Smart lists, are commonly requested/frequently used buckets of leads by most sales teams. For these, we automatically add leads from any of your custom lists into these based on our AI detecting certain activity or dispositions.
Examples of Fixed lists, aka Smart lists, are:
Booked Meetings
Nurture (more on this later)
No Shows & Cancels (these are really good leads to continue working - people no show or cancel sometimes. The best SDRs are persistent.)
Missed Calls (self explanatory)
Email Responses (self explanatory)
As a side note, we are always improving and updating smart lists over time, so if you have any suggestions on commonly used streams of lists, please don't hesitate to message us and request/check when a specific use case automatic list will be released.
Concept 2: Cold Leads | Nurture Leads
Within each list, you have two categories of leads: cold, and nurture.
So for each list, we automatically break out the leads into two buckets. What is a cold lead and what is a nurture lead you ask?
A lead is classified as cold or nurture (or disqualified - for those we just remove them from your lists) based on:
How you mark/disposition a lead after a call or in general on our platform
Whether you included a follow-up time when you dispositioned the lead
Whether you had a conversation with the lead OR they responded to one of your emails.
Below is a visual of how leads move from 'cold' status to either 'warm' or 'disqualified' status for any given list. The black dots represent leads.
What this does is make it really easy for you to approach your prospecting: first, by reaching out to prospects in your nurture tab, since these are your hottest and warmest leads, and second, if you have additional time, reaching out to cold leads.
As you reach out to leads over time, leads will move OUT of your cold tab and INTO your nurture tab, based on your disposition, or they will be removed from either your cold or nurture tabs entirely if they are disqualified.
Concept 3: Dispositions & Next Touch Times
This system works best when you correctly disposition the lead after each call or conversation, which you'll be prompted to do:
Here, you fill out a quick series of questions that takes 5 seconds to fill out (unless you add more notes), where you specify:
Whether you had a conversation with the prospect (yes/no)
How to best describe the prospect:
Decision Maker
Influencer
Gatekeeper
Not Relevant Persona (this will remove them from your list)
Bad Data (this will remove them from your list)
Do Not Call (this will remove them from your list)
